Repeat Cat Appointments Every 6 or 8 Weeks With Add Recurring Grooming
The steadiest cat work is the cat you see again and again. An owner who books every 6 or 8 weeks does not need to remember to call, you do not need to fit them in from scratch, and the cat sees the same groomer at the same time on a schedule it gets used to.
PetGroomBossPro books those cats with Add Recurring Grooming.
From a Set Time to a Standing Time
Scheduling Cats at a Set Time: Fixed Slots for Cat Appointments covered why cats belong at a set time. A repeat appointment turns that set time into a standing one.
Add Recurring Grooming books a client on the same weekday, time and van on a frequency you pick: every week, every 2, 3, 4, 6 or 8 weeks, monthly, or custom days. For cats, every 6 and every 8 weeks are the common choices, but the frequency is whatever you and the owner agree on. The software does not recommend one.
Booking the Series
When you set up the series, you choose:
- The service, such as Cat Groom or Cat Lion Cut, from your one service list.
- The frequency, picked for this client. The same cat groom service can be every 6 weeks for one owner and every 8 for another.
- The weekday and time, such as Tuesday at 10:30.
- The van, which matters if certain cats need the van with two people in it.
- The price for the visits.
The pets at that home come along on every visit, with their Dog or Cat setting, breed, size, coat, rabies due date and notes. The cat's lion cut note is on visit one and on visit eight.
Every Visit Written Up Front
Add Recurring Grooming does not wait and create the next visit when the last one is done. Every visit in the series is written up front. Each one waits on Pending Jobs with its planned day, time and van until the office confirms it.
That gives you a clear view ahead. You can see that a cat is planned for Tuesday at 10:30 eight weeks from now and again eight weeks after that, and so can anyone else in the office. Confirming those visits is covered in Confirming Repeat Cat Visits on Pending Jobs the Day Before.
Changing the Series: Recurring Clients
Owners move, change jobs, get a second cat or decide they want a shorter gap between grooms. The Recurring Clients list is where the series is managed. From there you can:
- Change the van for upcoming visits, for example moving a cat to the two-person van.
- Change the day or time if the owner's schedule changes.
- Change the price for upcoming visits, which is how a price change for regulars is handled without touching visits already done.
- Extend the series when it is running out.
- Stop it if the owner cancels.
Changes apply to upcoming visits, so past visits and their invoices stay as they were.
Pricing Repeat Cats
On the booking page, you can offer an optional discount for owners who pick a repeat schedule. When a cat owner chooses every 6 or 8 weeks, they see the lower price before they send the request. When the office books the series, it uses the agreed price.
Whether to offer that discount is a business decision. Some groomers do it to fill their week with regulars. Others keep one price and rely on set times and good service to keep owners booked.
One Visit Off the Plan
A repeat series is a plan, not a cage. If the owner is traveling for one visit, the office moves or skips that one visit and leaves the rest alone. If the cat needs an extra appointment between visits, such as a sanitary trim, book it as a separate job. The series carries on as planned.
Because every visit waits on Pending Jobs until the office confirms it, one-off changes are caught the day before rather than discovered at the door.
Talking Frequency With the Owner
The frequency is a conversation between you and the owner. The coat notes and the customer notes from past visits give you something concrete to point to, and the booking page shows the owner what each choice costs. Once the two of you settle on every 6 or every 8 weeks, the series is booked and nobody has to remember to call. If it turns out to be the wrong gap, change it from Recurring Clients for the upcoming visits.
Regular Cats, Regular Days
Repeat appointments are where cat grooming becomes steady work: the same cats at the same times, with every visit planned in advance and the notes carried along. For how repeat visits fit with the rest of cat grooming in PetGroomBossPro, see the cat grooming software page.
