Choosing Recurring Grooming Software: What to Check Before You Switch
Almost every scheduling tool says it handles repeat appointments. For a mobile groomer, that phrase can mean anything from a calendar event that repeats to a full system that holds the slot, the pets, the cut and the payment. Before you move your book of repeat clients anywhere, it is worth checking exactly what “recurring” means in the tool you are looking at. Here is a practical checklist.
Start With Your Own Book
Moving off paper is covered in Moving Repeat Grooming Clients Off the Paper Book and Into Software. Before you get there, pick five of your real repeat clients — a single dog, a multi-pet home, a cat, a monthly account and someone on an odd schedule — and try to book each one in any tool you are considering. If it cannot handle those five cleanly, it will not handle the rest.
1. Does It Hold a Fixed Slot?
Can you book a client on the same weekday, the same time and the same van, and have every visit keep them? Or does it only track “due again in so many days” and leave the office to pick a day each time? For an appointment business where someone has to be home to hand over the pet, a fixed slot matters. Why it matters is laid out in Why Set Slots Work: Same Weekday, Same Time, Same Van for Every Repeat Grooming Client.
While you are at it, check whether appointment times actually show on the groomer's phone and in the customer's reminders. Some field-service tools treat the day as a list with no times at all, which works for some trades and not for an appointment business.
2. Are the Frequencies Flexible, Per Client?
Check the frequency options: weekly, every 2, 3, 4, 6 or 8 weeks, monthly, custom days. Then check where the frequency lives. If you have to create a separate service for every frequency, your service list will balloon. Look for one service list with the frequency picked per client.
3. Can You See the Coming Weeks?
Are visits written up front, so you can look ahead and see each van's days filling? Or does the next visit only appear after the last one is done? Being able to see capacity weeks ahead is what lets you say yes or no to a new client with confidence.
4. Is There a Confirm Step?
Does the tool give the office a moment to look at tomorrow before it goes to the groomer? Look for a screen of planned visits by day, tomorrow first, with a quick way to confirm them as planned and a place for new requests that do not have a day yet. Without it, problems like a sick groomer or a van in the shop get discovered in the morning instead of the afternoon before.
5. Can You Change a Series Going Forward?
Life changes. Check that you can change the van, day, time and price for upcoming visits without touching past ones, extend a series, and stop one. Check that you can also move a single visit without changing the whole series. If every change means deleting and rebooking, you will spend a lot of evenings on it.
6. Do the Pets Ride Along?
This is the big one for groomers. Does each visit hold the pets at that home, with breed, size, coat, rabies due date and cut and behavior notes? Does the next visit fill in from the last, so nobody re-types the dog? Does the groomer see all of it on the phone, with add-ons and van notes? A repeating time slot without the pets is just a calendar.
7. Reminders, Texts and Payment
Check for automatic reminders the customer can choose, on-the-way and arrived texts from the groomer's phone, and two-way texting with the office. Ask how many texts are included and whether replies count. Then check billing: invoice created when the visit is completed, card on file charged automatically, tips, past-due follow-up, and one statement a month for accounts like senior living pet days.
8. Price and Trial
Look at the full monthly price for the features you actually need, not just the starting price. PetGroomBossPro plans are $59, $89 and $199 per month (Start, Pro and Crew), with repeat scheduling, the groomer app and billing on every plan, and a 14-day free trial with no credit card.
