What the Office Sees When the Groomer Completes an Appointment
Most of this series has been about the groomer's side: the phone, the card, the buttons. But every tap in the van shows up somewhere in the office. For an owner who grooms in one van while someone else runs the phones, or an owner who runs the office while groomers handle the vans, knowing what the office sees is what makes the whole system trustworthy.
From the Van to the Office
Training a New Groomer on the App in One Ride-Along ended with a look at the day from the office side. Here is that view in detail. When the groomer taps Complete, the appointment in the office shows as done, and everything the groomer recorded comes with it.
The Grooming Record
On the completed job, the office sees:
- Each pet's checklist: coat and skin on arrival, brush-out or de-matting, bath and conditioner, blow dry and fluff, haircut or style, sanitary trim, paw pads, nails, ears, eyes and face, final brush-out, and the add-ons, ticked as done.
- The note for the customer for each pet.
- Before-and-after photos.
- Who did the work, from the PIN they signed in with.
This is the full record of the visit. When a customer calls with a question, the office has the answer without calling the van.
The Grooming Report
From the completed job, the office can print a Grooming Report for the customer. It shows what was done for each pet and the groomer's note for the customer. Some businesses leave it with the pet; others hand it over at the next visit. Either way, the owner sees in writing what their groomer did and noticed.
The customer note itself is covered in The Note for the Customer: Telling Pet Owners What the Groomer Noticed Today.
The Invoice
Complete creates the invoice, with the service and add-ons as line items at your prices and sales tax if you charge it. The office sees it right away. If the customer has a card on file, it can be charged at completion. If not, the invoice is waiting in the customer app for them to pay online, and past-due follow-up helps if it sits too long.
Accounts on monthly billing, such as a senior living community or apartment community, collect visits into one statement for the month. The office sees each visit on the account as it is completed. Payment is covered in Charging the Card on File When the Groomer Taps Complete.
The Day at a Glance
Across all vans, the office sees the whole day's status:
- Which appointments are completed, started or still to come.
- Which were skipped, with the groomer's reason.
- Where every van is, on the office map.
- Who clocked in and when.
Skips are the ones to act on first. A skip with “nobody home” becomes a text to the customer through two-way texting and a rebooked appointment.
The Next Visit, Already Filled In
One of the most useful things happens quietly. Because the next visit at a home fills in from the last one, the completed appointment's pets, cut notes and add-ons carry forward. For a client on repeat appointments every 4, 6 or 8 weeks, the next visit is already written and waiting on Pending Jobs with its planned day, time and van. When that day comes up, the office confirms it with one click, and the groomer sees the right details on the card.
If the groomer noted a change (“owner wants it shorter from now on,” “new puppy at this home”), the office updates the pet so the next visit carries it forward.
Reports Over Time
Beyond each day, completed appointments feed the office's reports. The tips report shows tips customers left on paid invoices in the customer app. The office's other reports help the owner see how the business is doing and where the time goes. The record each groomer creates, one tap at a time, is what those reports are built on.
For an owner who is grooming in a van while someone else runs the office, this view is also what keeps the two in sync. The person at the desk does not have to text the owner to ask how the day is going. They can see it, and they can handle customer calls with the same information the groomer has.
One Record, Two Views
The groomer sees the appointment as a card; the office sees it as a record. They are the same appointment, so nothing is lost between the van and the desk. For how the groomer app and the office fit together, visit the PetGroomBossPro dog grooming app page.
