A Booking Request, Not a Calendar Slot: Confirming the Time With the Customer
Let's be clear about how the PetGroomBossPro booking page works. When a customer sends a booking, they are sending a request. They are not picking an open slot on your calendar and locking it in. You confirm the time, and then it is booked. This article explains why that suits mobile grooming and how to make the confirmation step quick.
Where the Request Comes From
The request lands in Leads with an email to you, as described in Where Grooming Bookings Land: The Leads List and the Email You Get. It carries the customer's preferred day and time of day: something like “Tuesday, morning.” That is a preference, not a reservation.
Why a Request Suits Mobile Grooming
A salon has one location. Any open chair at 10am is roughly as good as any other. A mobile groomer is different. Where the house is matters as much as when.
- Route fit. A Tuesday morning slot is great if you are already on that side of town Tuesday morning, and terrible if you are across the county.
- Job length. Two giant breeds take a different block of time than a single toy poodle. An open hour on the calendar does not always fit the job.
- Van and team. If you run more than one van, the right van for the job depends on the area, the pets and who is on that van.
- Hookups and parking. Some homes need a closer look at where the van can park or plug in before the first visit.
Letting customers drop themselves into open slots would fill your calendar in an order that ignores all of this. A request keeps the decision with you.
Tell Customers It Is a Request
Customers are used to all sorts of booking pages, and some expect an instant confirmation. Set the expectation clearly on your website next to the Book Now link: “Send a request and we'll confirm your appointment time within one business day,” or whatever you can promise. The note under the price is another place to mention it.
When customers know a confirmation is coming, a quick reply from you feels like good service, not a delay.
Confirming Fast
The confirmation step only costs you business if it is slow. A few ways to keep it quick:
- Batch it. Work through Leads once or twice a day, when you plan tomorrow's route.
- Text first. Two-way texting from the office lets you offer a time in one message: “Hi! I can do Tuesday the 14th at 9:30am for Biscuit and Pepper. Does that work?”
- Offer two options. Two specific times near their preference usually gets a yes on the first reply.
- Ask your one question. If something in the request needs checking, like the last groom date for a doodle, ask it in the same message.
Setting the Time and Booking It
Once the customer agrees, you book the visit with a set time. Appointment times show on every card, both on the Scheduled list in the office and on the groomer app. The groomer sees the day's appointments in order with their set times, each pet with breed, size, coat and cut notes, and the van notes for the house.
If the customer chose a repeat schedule, set them up with Add Recurring Grooming. It books them on the same weekday, time and van every week, 2, 3, 4, 6 or 8 weeks, monthly or custom days. Every visit is written up front and waits on Pending Jobs with its planned day, time and van. When you schedule the day before, one click confirms each visit with its planned details. More on that in Turning a First Online Booking Into a Repeat Grooming Client.
Keeping the Customer Informed After That
Once the visit is booked, the automated alerts take over. Customers can choose a reminder the night before, a text when they're next, and a text when the groomer arrives. The groomer app sends “on the way” and “arrived” texts automatically. In the customer app, they can see today's route on a live map, along the lines of “You're stop 12 of 20 — the groomer is 5 stops away.”
That is a lot of reassurance for someone who sent a request a day or two earlier and was not sure what would happen next.
When You Cannot Fit Them In
Sometimes the request is outside your area, or your schedule is full for weeks. Tell them honestly and quickly. Offer the earliest time you have, or let them know you are not covering their area. A clear “no” is better for your reputation than a request that sits unanswered. The request stays in Leads, so if your schedule opens up you can reach out later.
