The Sign-Up Form: Capturing a Card When a New Grooming Client Signs Up

For a mobile groomer, getting paid at the end of a groom should be the easy part. It often is not. The customer is at work, the check is somewhere in the house, or the card they gave you on the phone last month has expired. A sign-up form that captures a card up front takes most of that hassle out of the first visit.

Sign-Up Versus Request

The website request form, covered in The Website Request Form: Catching Grooming Inquiries That Don't Fit the Booking Page, is for people with questions. The sign-up form is for people who are ready to become clients.

PetGroomBossPro's sign-up form collects the new client's details and captures a card. Submissions land in Form Responses, the same place as request form submissions. From there, one click converts a sign-up into a client.

Why Capture a Card at Sign-Up

Mobile grooming happens at the customer's home, but the customer is not always there. Many clients leave the dog with a family member, or have a gate code and a dog door and are at the office all day. A card on file means:

Auto-charge can happen on completion or on a schedule, depending on how you set billing up.

When to Send People to the Sign-Up Form

The sign-up form fits best when the customer has already decided to use you. Some good moments:

The booking page and the sign-up form work well together. The booking page answers “how much?” and collects the pets. The sign-up form gets the card on file.

Be Clear About What the Card Is For

Customers are cautious about entering a card online, and they should be. Tell them plainly on your website and in your messages what the card is used for: “We keep a card on file and charge it after each groom, so you don't need to be home to pay.” If you auto-charge on a schedule instead, say that.

Being clear up front avoids the worst kind of surprise: a charge the customer did not expect.

It also helps to say who will see the card. Customers feel better knowing their card is stored with the billing system rather than written on a sticky note in the van, and that they can change it themselves whenever they like.

One Click to a Client

Once the sign-up is in Form Responses, one click converts it into a client. No retyping the name, address and contact details into a new client record. The card is already captured. From there, add the pets with their breed, size, coat, rabies due date and notes, and book the visit or set up a repeat schedule.

The details of converting are in the next article, One-Click Convert: Turning a Grooming Sign-Up Into a Client Record.

Updating the Card Later

Cards expire and customers change banks. Clients can update their card themselves in the customer app, so you do not need to take card numbers over the phone. If a charge fails, past-due follow-up helps you chase it without awkward calls.

The customer app also lets clients see their invoices, pay online, request service and set their alert preferences: a reminder the night before, a text when they're next, and a text when the groomer arrives.

The Sign-Up Form Is Not a Deposit

To be clear, the sign-up form captures a card on file for future charges. It is not a deposit system. Charges happen when the work is done, on completion or on the billing schedule you set. If you want a cancellation policy, write it plainly on your website and in your confirmation messages.
