From Estimate to Grooming Invoice: Keeping the Quoted Price All the Way to Payment
The first invoice a new grooming customer gets is the one they read most carefully. They remember the price they were quoted, and they check the bill against it. If the two do not match, even for a good reason, the relationship starts with a question instead of a thank-you.
Where the First Price Comes From
Before the price, there is tax and the rest of the invoice's math, covered in Sales Tax on Grooming Invoices: Set It Once and Let the Invoice Do the Math. This article is about the price itself, and keeping it the same from first quote to final bill.
New grooming customers usually reach you one of two ways in PetGroomBossPro. Some book through your online booking page, where they pick a service, how many pets, each pet's name, breed and size, how often, and any add-ons, and they see their price instantly. Others call or message, and the office sends them an estimate built from your service list.
Either way, there is a written price before the first groom. That written price is what the invoice needs to match.
Online Booking Quotes Land in Leads
Each booking from the online booking page lands in Leads with everything the customer picked and the quoted price, and you get an email. The booking is a request, not an instant calendar booking: the office confirms the time and books the customer.
Because the quote came from your own prices — base price per service, size add-ons, a minimum, frequency discounts and add-on prices — it should already be close to what you would have charged anyway. When the office books the customer, the services and pets they picked become the job, and that job is what the invoice comes from.
Estimates the Customer Approves Online
For customers who call or need something more specific, the office builds an estimate from your service list and sends it. The customer approves it online. The approved estimate becomes the job, and the pet details on the estimate carry onto the job too, so nobody retypes the dogs or the add-ons.
Estimate follow-up emails and templates help with the ones that sit unapproved. A customer who meant to approve but forgot gets a reminder instead of silence.
Once the estimate is the job, the path to the invoice is the same as any other visit: the groomer grooms, taps Complete, and the invoice is created from what is on the job.
When the Dog Is Different From the Quote
Sometimes the quote was right for the dog the customer described, but not for the dog in the driveway. A “small” dog turns out to be medium, or a coat that was described as brushed out is matted.
This is the moment to talk, not to quietly change the bill. The groomer notes what they found, the office texts the customer, and the job is updated before Complete is tapped. Then the invoice reflects the real groom and the customer is not surprised. The pet record is updated too, so the next visit is priced right from the start. More on handling changes on site is in When the Groom Changes on Site: Invoicing Extra De-Matting and Skipped Add-Ons.
Repeat Visits Keep the Price
Most grooming customers become repeat clients, booked every 4, 6 or 8 weeks. When the office adds a recurring schedule, every visit is written up front and waits on Pending Jobs with its planned day, time and van until the office confirms it. The price set for that client carries through to each visit, so the invoice on the tenth groom matches the invoice on the first.
If you raise prices later, the Recurring Clients list lets you change the price for upcoming visits. The change shows up on the next invoice without anyone hand-editing bills.
Card Capture at Sign-Up
Your website sign-up form captures the customer's card, and the sign-up flows into Form Responses, where one click converts it into a client. That means many new customers already have a card on file before the first groom, so the first invoice can be charged when the groomer taps Complete, just like every repeat visit after it.
For customers who came in through an estimate instead, the card can be added through the customer app or by the office before the first visit. Read Card on File for Mobile Groomers: Save the Card Once, Charge It Every Visit for the details.
From the first quote to the paid invoice, the price lives in one place and travels with the job. To see the rest of the billing tools, visit the pet grooming invoicing software page.
The Price They Approved Is the Price They Pay
PetGroomBossPro turns approved estimates into jobs, and jobs into invoices, without retyping a single pet.
