Past-Due Grooming Invoices: Following Up Without Losing a Good Client
Nobody starts a grooming business to collect debts. Most groomers would rather eat a missed payment than send an uncomfortable message. But a habit of letting unpaid invoices slide adds up, and it is not fair to the clients who pay on time. The good news is that past-due follow-up does not have to be uncomfortable. It mostly has to be early.
Who Ends Up Past Due
Customers without a card on file, covered in Grooming Customers With No Card on File: Invoicing the Clients Who Pay Later, are the most common source of past-due invoices. The other source is a card on file that declined and was never updated.
In both cases, the invoice exists and is accurate. The pets were groomed, the add-ons were done, the invoice went out by email and in the customer app. It just has not been paid. PetGroomBossPro keeps those unpaid invoices easy to find and supports past-due follow-up, so they do not disappear into a pile.
Follow Up Early
The single biggest factor in getting a past-due invoice paid is how soon you ask. A reminder a few days after the groom feels like a nudge. A reminder two months later feels like an accusation, and by then the customer may not even remember the visit.
Pick a rhythm and stick to it. For example:
- A few days after the groom: a friendly text or email pointing to the invoice in the customer app.
- About a week after that: a second, still friendly reminder.
- Before the next appointment: a check-in before the office confirms the next visit.
The exact timing is up to you. The point is that it happens every time, not only when someone remembers.
What to Say
Keep it short, warm and specific. Mention the pet, the visit and where to pay. With two-way texting from the office, replies come straight back, so a customer who has a question can ask it.
- First reminder: “Hi! Just a reminder that Daisy's groom from last Tuesday is ready to pay in the app. Thanks so much!”
- Second reminder: “Hi, checking in on the invoice for Daisy's last groom. It's still showing open in the app. Let us know if anything looks off!”
“Let us know if anything looks off” is worth including. Sometimes an invoice is unpaid because the customer disagrees with it and has not said so. Inviting the question clears that up.
Keep reminders in writing rather than raising money at the van door. A text or email gives the customer time to check and pay without feeling put on the spot, and it leaves a record you can look back on if there is ever a question.
Make Paying the Easy Part
Every reminder should point to one simple action: open the invoice in the customer app and pay online. The fewer steps between the reminder and the payment, the more likely it gets paid right then. If the problem is an expired card, the customer can update their card on file in the same app.
Once the invoice is paid, the customer can still leave a tip on it. It happens more often than you might expect, especially when the follow-up was kind.
Before Confirming the Next Visit
Repeat appointments make past-due follow-up easier, because there is always a natural checkpoint. Every repeat visit waits on Pending Jobs with its planned day, time and van until the office confirms it. That is the moment to check for an open invoice.
What you do next depends on the client. A long-time customer with one slow invoice probably gets a quick text and a confirmed visit. A newer customer with several unpaid grooms might get a phone call first, or a request to save a card before the next appointment. Whatever your policy is, decide it once and apply it the same way to everyone.
Keep the List Short
The best past-due list is a short one, and most of the work happens before an invoice is ever late. Capture a card on the sign-up form. Charge it when the groom is complete. Show new customers the customer app. Review open invoices on a regular schedule. Following up early and kindly gets most invoices paid and keeps good clients coming back. To see past-due follow-up alongside card on file, the customer app and tips, visit the pet grooming invoicing software page.
