Fitting a Grooming Route Around Fixed Appointment Times
Every mobile grooming day has a few appointments that cannot move and a few that can. The 8:30 before work is fixed. The retired couple who are “home all day” are flexible. Building a good day is mostly the art of anchoring the fixed ones first and letting the flexible ones fill in around them.
Two Kinds of Appointments
Route order and time are related but not the same thing, which is why hand ordering exists, as explained in Setting Grooming Route Order by Hand When the Map Is Not the Whole Story. This article is about choosing the times themselves.
It helps to sort every appointment on a day into two groups:
- Anchors. The owner needs a specific time: before work, at lunch, after school pickup, or a monthly account day with a set start.
- Fillers. The owner is home most of the day, or has said “any time in the morning” or “any time Tuesday.”
A note on the client record such as “flexible, home all day” or “must be before 9” makes this sort quick the next time you build their day.
Step One: Place the Anchors
Put the anchors on the day first, at their times. Look at where they are on the map. If the 8:30 anchor is on the north side and the 1:00 anchor is on the south side, the van's day already has a shape: start north, drift south by lunch.
If two anchors are too far apart for the gap between them, that is the moment to fix it — before the fillers go in. Offer one of those clients a different time or a different day while the day is still easy to change.
Step Two: Fill the Gaps by Area
Now place the flexible appointments into the gaps, choosing the ones that sit near the anchors on either side. A filler near the 8:30 goes next, at a time that leaves room for the first groom and the short drive. A filler on the way south goes late morning.
The Pending Jobs map is useful here because it shows planned repeat visits and No Day requests side by side. You can see which new request is two streets from tomorrow's anchor and give it the slot. How new requests wait for a slot is covered in The No Day Tab: Where New Grooming Requests Wait for a Slot.
Step Three: Size Each Gap by the Pets
The gap between two times has to hold the groom, the van clean-up and the drive. The pets on the card tell you how big the groom part is. A single Small dog on a bath and brush is a short stop; a Large Curly / Doodle with De-Matting and Nail Grinding ticked is a long one; a home with three dogs on one visit is longer still.
You know your own pace better than any software. The value of having breed, size, coat and add-ons on every card is that you can apply that knowledge at a glance instead of trying to remember what the dog at that address looks like. Long grooms and quick trims each get their own article later in this section.
Step Four: Route and Read Down the List
Once the day is filled, route it. Auto-routing gives the driving order; then move any anchor that landed in the wrong place. Read the times top to bottom one last time and ask three questions:
- Is each anchor in order by time?
- Does each gap look big enough for the pets in it plus the drive?
- Is the last appointment early enough for the groomer to finish and get the van home?
If the answer to all three is yes, confirm the day. The groomer's phone shows the same order and times, and pet owners who chose the night-before reminder get one with their time.
When the Day Slips
Even a well-built day runs late sometimes. A dog who needs more time, a road closure, a customer who is not home and then is. The groomer can see on the phone which appointments come next and their times, and the office can see the van on the GPS map and where it is in the list.
When the next anchor is at risk, a quick text from the office to that customer keeps the promise honest: “Running about 30 minutes behind, see you around 1:30.” Customers who use the live map in the customer app can see their place in line too. Fillers later in the day can often absorb the delay without a message at all, which is one more reason to know which stops are which.
