Writing a Cancellation Policy for Your Mobile Grooming Business

A last-minute cancellation in a salon leaves a gap on the table. In a van, it leaves a gap in a route you already planned, with the drive to the next home still ahead of you. Every mobile groomer eventually needs a cancellation policy. The policy is your own business decision. What this guide covers is how to make it clear, how to share it, and how software can make cancellations less common and easier to handle.

Why a Van Needs a Policy

Pricing the extras was covered in Pricing Add-Ons in a Mobile Grooming Business: Teeth, Nails, De-Shedding and the Rest. A cancellation policy protects all of that pricing work, because a price only matters if the appointment happens.

A mobile day is planned as a chain of homes. When one drops out the morning of, you often cannot fill it, because the next customer is not expecting you early and the slot is too short to send the van across town. A clear policy does two things: it sets expectations so fewer people cancel late, and it gives you a fair, consistent answer when they do.

Decide What Your Policy Says

Every grooming business sets its own terms. Questions to answer for yourself:

Write the answers in plain language, short enough to fit in a text message. If you are unsure about the wording of fees, your accountant or another professional can help.

Share It Before the First Visit

A policy nobody saw is hard to enforce and awkward to bring up. Put it where customers will see it before they book: on your website next to the Book Now link, in your estimate templates, and in the first text you send a new customer when you confirm their time.

When a customer signs up for repeat visits, mention it again. Regular clients are the people a policy matters most for, and they are also the people you most want to keep, so a friendly reminder early beats a tense conversation later.

Reminders Prevent Most of the Problem

A lot of cancellations and no-shows are really forgotten appointments. The fix is a reminder at the right time. PetGroomBossPro sends automated reminders and alerts by text and email. Customers choose their alerts in the customer app: the night before, when they are next, and when the groomer arrives.

The night-before reminder is the one that matters most for cancellations. It gives the customer a chance to say “we're away this week” while you can still adjust tomorrow's route. Replies come back to the office through two-way texting, so you see them in one place instead of on a personal phone.

Skip and Reschedule in the Software

When a visit does not happen, the software should record it cleanly. On the groomer app, the groomer can tap Skip and write a note: “Nobody home, texted twice” or “Customer cancelled at the door, dog sick.” The office sees the skip with its note on the job.

For repeat clients, rescheduling is usually better than losing the visit. Each repeat visit waits on Pending Jobs with its planned day, time and van, so the office can move one visit to another day without touching the rest of the schedule. If a client needs a new regular slot, change the day or time for upcoming visits from the Recurring Clients list.

If your policy includes a late-cancellation fee, you can add it as a line item on an invoice and charge the card on file, the same way any other invoice is charged. The policy, the amount and when to waive it are up to you.

Apply It the Same Way Every Time

The hardest part of a cancellation policy is using it. A policy applied to some customers and not others causes more trouble than no policy at all. Keep it simple enough that you can apply it without thinking, and keep a record of each skip and its reason so you can see patterns.

Customer history helps here. Every skipped visit and its note stays with the client, so if one customer has cancelled late three times, you know before you decide what to do. That history is covered in Customer History in a Mobile Grooming Business: Every Visit, Note and Invoice in One Place.

Late Customers Are a Cousin of Cancellations

Not every problem is a cancellation. Sometimes the customer is home but not ready, or the gate is locked, or the pet is out on a walk. That is handled differently and is covered next in Handling Late Customers and Unanswered Doors in a Mobile Grooming Business.
