What Mobile Pet Grooming Software Actually Does, From First Call to Paid Invoice

“Grooming software” can mean anything from a shared calendar to a full back office. The easiest way to see what it should do for a mobile groomer is to follow one client through the whole life of the account and watch where the software takes over a job you used to do by hand.

Start With the Big Picture

If you have not read it yet, Pet Grooming Software: The Complete Guide for Mobile Groomers Who Work From a Van covers every feature in detail. This article is the short tour: one household, two dogs, and everything that happens between the first request and the money landing.

Say the household has a goldendoodle and a miniature schnauzer. The owner found you through your Google Business Profile and wants them groomed every six weeks.

Step 1: The Request Comes In

The owner taps your Book Now link. On the booking page they pick Full Groom, say there are two pets, type each pet's name, breed and size, choose every six weeks, tick teeth brushing for the doodle, and pick a preferred day and morning. The page shows them a price on the spot, built from the base price you set for Full Groom, the add-on for a large dog, the frequency discount and the add-on price.

That request lands in Leads with everything they picked and the quoted price, and you get an email. Nothing is on your calendar yet. You decide when they fit.

If the home is unusual, say four dogs and a matted cat, you can send an estimate from your service list instead. The customer approves it online and the approved estimate becomes the job, pets included. That path is covered in Estimates in Pet Grooming Software: Quoting a Multi-Pet Home and Turning It Into a Job.

Step 2: The Client and the Pets Are Saved

The lead becomes a client with an address. The visit holds both dogs: name, dog or cat, breed, size, coat, rabies due date and a notes line. The doodle gets “#7 blade body, teddy bear face.” The schnauzer gets “nervous with the dryer.” Van notes on the home say where to park and that the outlet is by the garage door.

Step 3: The Repeat Series Is Booked

Add Recurring Grooming puts the client on a slot: every six weeks, Tuesday at 9:00 AM, Van 1. Every visit in the series is written up front and waits on Pending Jobs with its planned day, time and van. The day before each visit, the office opens tomorrow's tab and confirms it with one click.

Step 4: The Customer Is Kept in the Loop

The owner picked their alerts: a reminder the night before and a text when the groomer arrives. Those go out on their own by text and email. On grooming day they can open the customer app and watch the van on a live map, “You're stop 3 of 6.” If they reply to a text, it comes back to the office through two-way texting.

Step 5: The Groom Happens on the Groomer's Phone

The groomer opens the groomer app, sees the Tuesday 9:00 AM card at the top, taps navigation and drives over. On the card: both dogs with breed, size, coat and cut notes, the teeth brushing add-on, the parking and outlet note, and the notes from past visits.

They tap Start. The automatic arrived text goes out. They work the grooming checklist for each dog, coat and skin on arrival through final brush-out, tick the add-ons, take before-and-after photos and write a note for the owner if anything is worth mentioning. Then they tap Complete.

Step 6: The Invoice Is Created and Paid

Complete creates the invoice with its line items and sales tax. If the owner has a card on file, it can be charged right there. The owner sees the paid invoice in the customer app and can leave a tip of $10, $20, $30 or another amount. The office sees the finished job with the checklist, the photos and the payment, and can print a Grooming Report.

If the card fails or there is no card on file, the invoice stays open and past-due follow-up takes it from there.

Step 7: The Next Visit Is Already Filled In

Six weeks later the next visit is sitting on Pending Jobs, and it already holds both dogs, the cut notes and the add-on from the last visit. Nobody types the doodle's blade length again. If the owner calls to change the time, the Recurring Clients list moves upcoming visits to a new day, time or van at once.

What You Stop Doing by Hand

Look back at that list and count the things that used to be a text message, a notebook entry or a memory: quoting, writing down the pets, remembering the cut, booking the next visit, reminding the owner, telling them you are close, writing the invoice and chasing payment. Each of those is now a step the software either does on its own or turns into one click.

That is what mobile pet grooming software actually does. It does not groom the dog. It keeps everything around the groom out of your head and off scraps of paper. For the rest of the guides in this series, head back to the pet grooming software page.
