Filling a Grooming Van's Week With Recurring Slots

A grooming van earns its keep one slot at a time. An empty Tuesday afternoon is money the van will never get back, and a day zigzagging across town burns fuel and time between grooms. Recurring slots are the steadiest way to build a full, tight week. PetGroomBossPro gives you the view you need to see where the gaps are and fill them sensibly.

Start With What Is Already Booked

Monthly accounts, covered in Monthly Accounts on a Repeat Grooming Schedule: Senior Living, Daycare and Apartment Pet Days, are often the anchors of a week. Household repeat clients fill in around them.

Because every visit in a series is written up front, you can see the coming weeks today. Open Pending Jobs, click through the day tabs and look at each van's days. The map shows where the work sits; the list shows the times. Together they tell you which days are full, which have gaps, and where those gaps are.

Give Each Day an Area

The simplest way to fill a van's week well is to give each weekday a part of town. Tuesday is the north side, Wednesday is downtown, Thursday is the east suburbs. New repeat clients in the north get offered a Tuesday slot. Over time, each day fills with clients who are close together.

You do not need a rule in the software for this. It comes naturally from fixed slots: every repeat client keeps their weekday, so once a day has a few clients in one area, that day becomes that area. Why slots work is covered in Why Set Slots Work: Same Weekday, Same Time, Same Van for Every Repeat Grooming Client.

Mix Frequencies on the Same Day

A van's Tuesday will usually hold clients on different frequencies: some every 4 weeks, some every 6, some every 8. That means each Tuesday looks a bit different. One week is packed; the next has an open afternoon.

Pending Jobs shows this clearly when you look ahead. A few patterns help:

Fill Gaps With New Requests

New requests from the online booking page, website form, customer app and phone calls wait on the No Day tab of Pending Jobs. When you build tomorrow, look at the map: a new request near an existing repeat client is the easiest gap to fill. A one-time groom in that slot today can become a repeat client in that slot tomorrow.

The online booking page helps here too, because customers can choose a preferred day and time of day. A request that already says “Tuesday mornings” is easy to place.

Route the Day

Once tomorrow is confirmed, the Scheduled list lets you filter by van and auto-route Closest First or Furthest First from the shop, or set the route order yourself around set times. Van GPS on the office map shows where each van is during the day, which helps if you need to slip in a last-minute request.

A tight route is what makes the week work: less time driving, more time grooming, and repeat clients arriving at a steady pace.

Watch Capacity Before Saying Yes

Filling a week also means knowing when it is full. Before you take on a new repeat client, look at the coming weeks on Pending Jobs for that van and weekday. If those days are already packed in the heavy weeks, offer a different day, a different van, or a frequency that fits.

This is where a written series beats a paper book. You are not guessing at capacity; you are looking at it. When a van is full on its busy days, that is useful information too — it might be the sign it is time to think about a second van, covered in Two Vans, One Book of Repeat Clients: Splitting Recurring Grooming Across Vans.

Review Monthly

Once a month, look at the Recurring Clients list and Pending Jobs together. Which days are consistently light? Which areas have room? Who could move to a better-fitting day the next time you talk to them? Small changes on the series — a new day, a new time — can tighten a whole week.

One Slot at a Time

A full van week is not built in a day. It is built one repeat client at a time, each one placed on a day and in an area that makes sense. For the rest of the repeat tools, head back to the PetGroomBossPro recurring grooming software page.
