Booking the Next Grooming Visit Before You Leave the Driveway
The best moment to book a client's next groom is the moment the owner sees the dog fresh out of the van. They are happy, the cut is right there in front of them, and you are standing in their driveway. Wait a few weeks and that moment is gone; now they have to remember to call, and you have to hope they do. This article is about catching that moment and turning it into a repeat slot.
The Handover Is the Booking Moment
Big households are covered in Multi-Pet Homes on One Repeat Grooming Slot. Whether it is one dog or four, the handover at the end of the visit is where the next visit gets decided.
A simple question works: “Want me to put you on the same day and time every six weeks?” or whatever gap you and the owner have been talking about. Offering a specific slot is easier for the owner to say yes to than an open “when do you want to come back?” How often a pet should come back is your conversation with the owner; the software just holds the answer.
If They Are Already a Repeat Client
For a client already on a series, there is nothing to book. Their next visit is already written and waiting on Pending Jobs with its planned day, time and van. The handover becomes a quick confirmation: “See you on the 14th, same time.”
This is also the moment to catch changes. If the owner mentions a new work schedule, a trip or a new puppy, the groomer notes it on the job so the office can change the series, move a visit or add the new pet. Small details caught in the driveway save a phone call later.
If They Are New or One-Time
For a client who booked a one-time groom, the handover is a chance to put them on a slot. The groomer app is built for running the day, not for office work, so the usual flow looks like this:
- The groomer asks the question and agrees on a frequency and a rough slot with the owner.
- The groomer writes it in the job notes: “Wants every 6 weeks, Tuesdays around 10.”
- The office sees the note when the job is completed and books the series with Add Recurring Grooming the same afternoon.
- The office sends a quick text confirming the slot.
For an owner-operator who is also the office, the same steps apply, just with fewer people. Book it when you sit down that afternoon, while it is fresh. Turning one-time customers into regulars is covered more in Turning One-Time Grooming Customers Into Repeat Grooming Clients.
Offer a Slot That Fits the Route
Before offering a slot, it helps to know what is open. The groomer is already in the client's neighborhood on a particular weekday, so the easiest slot to offer is usually the same weekday, around the same time. That keeps the new client next to the groomer's other stops and makes the van's day tighter.
If the office has looked at Pending Jobs and knows which future days in that area have room, share that with the groomers. “Tuesdays on the north side have room after noon” is all a groomer needs to make a good offer in the driveway.
Use the Grooming Report
The grooming checklist on the groomer app lets the groomer leave a note for the customer, like “matting behind the ears is coming back.” The office sees it on the job and can print a Grooming Report for the customer. That note gives the owner something concrete to think about when deciding on a frequency, and it comes from what the groomer actually saw that day.
Keep it factual and about the grooming. It is not medical advice, and anything health-related belongs with the owner's vet.
Close the Loop With Payment
When the groomer taps Complete, the invoice is created and the card on file can be charged. If the client is going onto a repeat slot, this is a good time to make sure their card is on file, so future visits can be charged on completion. Customers can update their card in the customer app at any time. Before and after photos taken on the groomer app stay with the job, too.
Make It a Habit
Ask every time, in the same words, and let the office do the rest. When the question is part of every handover, it stops feeling like a sales pitch and starts feeling like good service. For the full set of repeat tools, head back to the recurring grooming software page.
