Vacations and Repeat Grooming: Skip, Reschedule or Stop
“We'll be at the lake the week of the 12th.” Summer brings a lot of those texts. A repeat client going away is not leaving you; they just will not be home for one or two visits. PetGroomBossPro does not have a separate pause button. Instead, it gives you three tools that cover every case: skip the visit, move it, or stop the series. Here is when to use each.
Three Tools, Three Situations
The last article, Stopping a Recurring Grooming Series When a Client Moves or Quits, covered the end of a series. Vacations sit between a normal visit and a goodbye. Which tool you use depends on how long the client is away and what they want done about the missed groom:
- Skip — the client will miss one visit and is happy to wait until the next one.
- Reschedule — the client will miss one visit but wants the groom done before or after the trip.
- Stop — the client will be away for a long stretch, like a whole season, and you do not want to hold the slot.
Skip: Let One Visit Go
If the client is fine waiting until the next regular visit, let this one go. Because every visit in a series is its own job, skipping one does not touch the rest; the next visit stays on its normal slot.
On the day, the groomer app has a Skip button next to Start and Complete, and the groomer can note why. But for a vacation you usually know ahead of time, so the cleaner move is for the office to handle it on Pending Jobs before it is confirmed: leave it off tomorrow's confirmed day so it never reaches the groomer's phone, and make a note on the client so everyone knows why.
Either way, the next visit in the series will still come up on time, with the pets and cut notes already filled in.
Reschedule: Move That One Visit
Many owners want the dog groomed before they leave, especially if a sitter or boarding is involved, or right after they get back. In that case, move that single visit to another day on Pending Jobs. Pick a day when the van is already near the client, and a time that fits around the other repeat visits.
Only that visit moves. The series stays on its usual weekday, time and van, and the visit after the trip lands right where it always would. If the moved visit ends up close to the next regular one, talk with the client about whether to keep both. That is their call and yours, not the software's.
The difference between moving one visit and changing the series is covered in Keeping Each Visit's Planned Day, Time and Van With One Click.
Stop: For a Long Break
Some clients leave for months: snowbirds heading south for the winter, families on a long work posting, people who split the year between two homes. Holding their slot that whole time leaves a hole in the van's week.
For a long break, stop the series on the Recurring Clients list. The upcoming visits come off Pending Jobs and the slot opens up for someone else. When the client comes back, add a new series with Add Recurring Grooming. Their pets, cut notes and van notes are still there, because the next visit fills in from the last one.
If the client has a second address in your service area for part of the year, you can book a series at that address instead. A client can have many addresses, and each series belongs to one of them.
Ask the Right Question
The fastest way to pick a tool is to ask the client one thing when they tell you about the trip: “Do you want us to groom before you go, after you're back, or just skip this one?” Their answer tells you whether to reschedule or skip. If the trip is longer than a couple of cycles, ask whether they want you to hold the slot or let it go, and stop the series if they say let it go.
Use two-way texting from the office for this. The conversation stays with the client's record, so whoever confirms tomorrow can see what was agreed.
Keeping Reminders Honest
A visit left waiting on Pending Jobs and never confirmed will not reach the groomer's phone. Even so, make the change as soon as you hear about the trip, not the day before. That way nobody confirms the visit by habit, and the client does not get a night-before reminder while they are packing the car. A note on the client record helps whoever is covering the office that week.
Plan the Summer Ahead
Because every visit is written up front, you can look ahead at summer weeks on Pending Jobs and see exactly which repeat clients fall in each one. Some groomers send a short text in spring asking regulars to share travel plans, then handle the skips and moves in one sitting. To see all the repeat tools together, go back to the recurring grooming software page.
Handle Vacations Without Losing the Slot
PetGroomBossPro lets you skip or move a single repeat visit, or stop a series for a long break and pick it up again later.
