Moving a Mobile Pet Grooming Business Off Paper and a Calendar App
Plenty of mobile groomers run a full book on a paper appointment book, a notebook of cut notes, a phone calendar and a long text thread with every client. It works, mostly. The cost shows up slowly: the cut note you could not find, the client who slipped off the calendar, the invoice you forgot to send. At some point the system that got you here starts holding you back.
Where Most Solo Groomers Start
The solo setup in The Solo Mobile Groomer: Grooming, Booking and Billing From One Van is often built on exactly this kind of paper-and-calendar system. This guide is about making the move without losing anything along the way.
What Paper and a Calendar Can't Do
A calendar app holds a time and a name. It does not know that the 9:00 is two dogs and a cat, that the doodle gets a #7 blade body, or that the van has to park on the street. A paper book can hold all that, but only in one place, in your handwriting, and it does not text the owner the night before.
The things that tend to break first are the ones that depend on memory: rebooking repeat clients on time, remembering cut notes, reminding owners and following up on unpaid visits.
Step 1: Get Your Clients In
If your clients live in a spreadsheet or another tool that can export one, CSV import brings them in, and imported addresses are placed on the map automatically. If they live in a paper book, type them in as you go. You do not have to do the whole book in one night; start with the clients coming up this week and next. CSV import is covered in CSV Import: Bringing Your Client List Into Pet Grooming Software.
Step 2: Add the Pets and Notes
For each client, add their pets: name, dog or cat, breed, size, coat, rabies due date and the notes line for the cut and behavior. This is where the notebook comes in. Copy the cut notes over once, and from then on the next visit at that home fills in from the last.
Add van notes for each home too: where to park, the gate code, where the outlet or water hookup is.
Step 3: Set Up Your Services and Prices
Build your service list (full groom, bath and brush, puppy intro groom, cat groom and so on) and your add-ons with their prices. If you plan to use the Book Now page, set your base prices per service, the price add-on per size, your minimum and any frequency discounts.
Step 4: Book Your Regulars on Their Slots
Go through your regulars and book each one with Add Recurring Grooming: same weekday, time and van at their usual frequency. Once that is done, your future calendar is filled in and every visit waits on Pending Jobs for you to confirm the day before. This is the step that replaces the paper book.
Step 5: Run One Day on the Phone
Pick a normal day and run it from the groomer app. Tap navigation, read the card, Start, checklist, photos, Complete. Let the automatic texts go out. Keep the paper book in the van as a backup for that first day if it makes you feel better. Most groomers stop reaching for it quickly.
Step 6: Turn On Payments
Start collecting cards on file as clients come up. Ask each regular on their next visit, or point them to the customer app to add it themselves. Once a client has a card on file, Complete creates the invoice and can charge it right away.
Run Both for a Week, Then Let Go
It is normal to keep the old system going for a week or two while you get comfortable. The trick is to make the software the one you trust and the paper the backup, not the other way around. Once your regulars are booked and the cut notes are in, there is very little the paper book does that the software does not.
Use the Free Trial for the Move
The 14-day free trial, with no credit card, is a good window for this move. Two weeks is enough to enter your upcoming clients, book your regulars and run several days on the phone before you pay anything. For the rest of the guides, go back to the pet grooming software page.
Retire the Paper Book
Move your clients, pets and cut notes into PetGroomBossPro and run your next week from the phone.
