Every 4, 6 or 8 Weeks: Setting a Repeat Grooming Frequency in the Software

“How often should we bring him back?” is one of the most common questions a groomer hears. The answer depends on the dog, the coat, the cut the owner wants, their budget and what they do with the dog between visits — and that is your call to make with the owner. This article is about the other half: once you have agreed on a number, how the software holds it.

Where the Frequency Lives

The full booking walkthrough is in Add Recurring Grooming, Step by Step: Booking a Repeat Client in PetGroomBossPro. The frequency is one field on that form, but it decides the shape of the whole series.

In PetGroomBossPro the frequency belongs to the client's series, not to the service. The same Full Groom can be every 4 weeks for one client and every 8 weeks for the next. You pick it each time you add recurring grooming, and you can see it later on the Recurring Clients list.

The Frequency Choices

The options on the form are:

Those are descriptions of how clients book, not recommendations for how often any particular pet should be groomed. Your clients will have their own reasons, and the software holds whatever you agree.

Weeks Keep the Weekday

The weekly-based options (weekly, every 2, 3, 4, 6 or 8 weeks) all land on the same weekday every time, because they are whole weeks apart. That is what makes them work with fixed slots. A Tuesday client every 6 weeks is always a Tuesday client.

That is also why many groomers prefer weeks over months for repeat clients. “Every 6 weeks on Tuesday” never drifts onto a Saturday the way a calendar date can. Monthly and custom days are there when a client needs them, and they are covered in Custom Days and Monthly Schedules for Recurring Grooming Clients.

Choosing the Frequency With the Client

The software does not pick a frequency for you, and it should not. What it can do is make the choice easy to change. A few practical habits help:

If the online booking page is on your website, customers can pick “how often” themselves when they request service, with an optional discount for repeat schedules. That request lands in Leads with their choice, and the office books the series from there.

Changing the Frequency Later

Owners change their minds. A client who started every 8 weeks may decide they want every 6. Another who was every 4 weeks tightens the budget and moves to every 6.

Because the visits in a series are written up front with a fixed rhythm, the cleanest way to change frequency is to stop the current series and add a new one at the new frequency on the same slot. The pets and cut notes come across, since they live with the client's visits and the next visit fills in from the last one. Stopping is covered in Stopping a Recurring Grooming Series When a Client Moves or Quits.

Before you stop the old series, check where its next visit sits on Pending Jobs. Starting the new series on that same date keeps the client from getting a long gap or two visits close together.

Frequencies and the Shape of the Week

A mix of frequencies is normal, and it shapes your week. A van with lots of every-4-week clients is busy and predictable. A van with lots of every-8-week clients has more open slots that move around. Because every visit is written up front, Pending Jobs shows the result: which days are already full and which still have room.
